Sabre system format summary

There are several formats that make the e-mail feature work to your best advantage. The TJR formats are designed to configure Virtually There® with your default settings. There are optional PNR formats that can override the agency default configuration in the TJR. These are explained below.

Note: All TJR formats below require EPR keywords "CREATE" and "SUBMGR" and Duty Code 9.

Here are the formats:

  Website defaults to the 12-hour clock W/TMH12 (If the clock type in the TJR is set to the 12-hour display format, the clock type field does not appear when the TJR is displayed.)

Agency name, phone number, marketing message, e-mail address and clock type

Update your Travel Journal Record (TJR) with your agency's name, phone number, marketing message and e-mail address. These will be prominently displayed in each e-mail message and at the top of the itinerary page. If you do not update your TJR with this information, the following default image will be displayed:

Note: If an agency logo has been submitted but your agency TJR has not been updated with the "TRAVEL AGENCY NAME" (TMN), the logo will not appear. Instead, the default header above will be displayed.

    Format:W/TMM{agency marketing message} (maximum 63 characters)
    Example:W/TMMYOUR TRAVEL IS OUR BUSINESS

Note: Your agency name, phone number, marketing message and e-mail address may be entered in any combination of uppercase and lowercase characters. Uppercase and lowercase characters will be displayed in the Virtually There e-mail message and itinerary. However, each lowercase character counts as two characters against the 63-character maximum limit for each field. For example, if you attempt to enter 32 lowercase characters in any of the above fields, the actual character count will be 64, exceeding the 63-character limit and you will receive an error message.


Default Agency From/Reply-To e-mail Address

When a traveler receives their e-mail, they will be able to reply to the message if you have updated your TJR with a default from/reply-to e-mail address.

To ensure delivery of e-mail messages, Virtually There will never transmit an e-mail message without a From e-mail address. Some corporate e-mail systems are programmed to filter junk mail by deleting all incoming e-mail messages that omit a From or Reply To address. Therefore, if the TJR does not contain a default agency from/reply-to e-mail address, Virtually There will place the following placeholder address in the outgoing e-mail message:

This default address is designed to ensure delivery of the e-mail message while discouraging your clients from attempting to actually reply to the e-mail message. Any replies sent to the default address will be discarded.

We strongly recommend that each agency configure their TJR with a valid from/reply-to e-mail address. Not only does it allow your customer to reply directly to your e-mail messages, it enables you to receive notification of all undeliverable e-mail messages. Delivery problems could be due to typographical errors in the e-mail address, obsolete e-mail addresses or problems with your client's inbound e-mail system. You will be notified of undeliverable e-mail with a message back to your from/reply-to e-mail address. Updating this field in your TJR is the only way you will be notified of undeliverable messages.

The default agency from/reply-to e-mail address field in the TJR may be overridden in the PNR with an e-mail address entry marked with the FR/ (From) indicator. This will enable your clients to reply to a specific agent in your office. See From/Reply-To E-mail Address and Name Override section for more information.


Default Agency Language Preference

Virtually There will deliver the e-mail message and your client's itinerary in one of thirteen major languages. You may indicate your Default Agency Language Preference in your TJR. If you do not specify otherwise, your clients will receive their information in English.

The language of each e-mail message and itinerary may be personalized for each e-mail recipient in a PNR by indicating the desired language in the e-mail address field. This will override the Default Agency Language Preference field in the TJR. See E-mail Language Override section for more information.


Blind Copy e-mail Address

This optional TJR entry enables you to receive a blind copy of every e-mail message transmitted by Virtually There for your agency. It allows you to create a "Sent" folder for your agency to confirm that a given e-mail message has been transmitted by Virtually There.

    Format:W/TMB{e-mail address for Blind Copy} (maximum 63 characters)
    Example:W/TMBSENT@ABCTRAVEL.COM<

You may enter one or more blind copy e-mail addresses directly into a given PNR, enabling you to create separate "Sent" folders for individual agents. See PNR e-mail Address section for more information.


Verifying TJR Settings

Your TJR settings may be verified in the Sabre system by entering W/TM*. Or, when you view the entire TJR, the Virtually There configuration settings will appear at the bottom of the TJR.


Submit Your Agency Logo & Web Address

E-mail your logo and your agency Web site URL to us at agencylogo@sabre.com. Your logo must meet the following specifications:

    Created as a .gif or .jpg file
  Exactly 120 pixels wide by 60 pixels tall
  No larger than 4KB

If you would like your logo to be "hot" or link to another Web site, please e-mail that Web site's URL as well.

With your logo, Virtually There can now be co-branded with your agency information and ready for use by your travelers.
